F4NF B.V. holds your privacy in the highest esteem. We will therefore process and use your data in a secure manner, entirely in accordance with the General Data Protection Regulation. In this Privacy Declaration we explain to you what information we collect from you and why we do this. You can also read in this Privacy Declaration what your rights are with regard to the processing of your information. For questions about your privacy, you can contact [email protected]. When we process your data outside the EU, we take appropriate (security) measures.

Article 0 Dutch, English and German version of the Privacy Declaration

The translation of the Privacy Declaration out of Dutch towards English and German has been performed with the highest care. Should there be a difference between the versions the Dutch version is taking president over the English and German version.

Article 1 Who we are?

F4NF B.V. is located in (5941 EE) Velden Molendijk 43, The Netherlands. We are registered in the trade register of the Chamber of Commerce under number 93648138. We are the controller of your personal data.

Article 2 Which data do we use?

Here you can find an overview of the data we process about you, why we do this, what legal basis we have to process this data from you and how long we will keep this data.

We process your name, address, place of residence, date of birth, telephone number, e-mail, website, company details and other data that are necessary to optimally deliver our services to you in order to enable the execution of the agreement. You can think of the financial data of the monthly report with which you want us to work. We use this information to make you a satisfied customer during the term of our agreement. We keep this data for 1 year after our agreement. We will delete your login details within 2 months after the execution of our assignment.

To manage your order, we will keep your name, delivery address, billing address, e-mail, telephone number, purchase history and payment details in our customer database for up to 7 years after the conclusion of our agreement. We do this by virtue of the implementation and possible amendment of the agreement.

We believe it is important to be able to maintain a good relationship with you as a customer. For our CRM system we therefore store your name, address, place of residence, profile photo, website, telephone number, e-mail, correspondence, company details and agreements. You have given permission for this by entering into an agreement with us. We will keep this information for 1 year after the last invoice date.

For invoicing and financial administration we process your name or that of your contact person, company name, billing address, Chamber of Commerce number, VAT number, order details, bank details and outstanding balance. We cannot process your payment without this information. We therefore need this information for the execution of the agreement. According to a legal obligation of the tax authorities, we must keep this data for 7 years.

In the unlikely event that you have a complaint about our services, we will process your name, e-mail, telephone number, order number and the content of this complaint in order to arrive at the best possible solution for you. We use this information for an optimal execution of the agreement. We will delete data relating to the complaint 1 year after it has been processed.

Office Support etc. has a commercial interest in using some of your personal data for marketing purposes. We process your first name, e-mail, IP address and social media account for direct marketing and social media marketing. We will delete this data as soon as you unsubscribe from our newsletter or indicate that you no longer wish to be contacted by us.

To enable and optimize our website we use analytics and retargeting services. We have a commercial interest in using your surfing behaviour and related data to analyse our service and improve it where necessary. We will track your use of our website with Google Analytics and a Facebook Pixel and are hereby bound by the retention periods of Google.

These analytics services use cookies. Cookies are small pieces of information that are sent to your browser when you visit this website and are then stored on the hard drive or in the memory of the device with which you visit my website. These cookies will not damage your devices.

To make it possible to post reviews about our services, we process your name and the content of your message. And if you want to contact us via the website, we ask for your name, e-mail and telephone number. By posting your message or sending the contact form, this information will become visible to us. We can post reviews about my services on our website for commercial interest and we will remove them after 3 years at the latest. We will delete the data from a sent contact form as soon as the contact question has been completed, unless an agreement results from this.

We process your name, username, e-mail, avatar and content of your message when you want to leave a response to our articles or messages. This information will automatically become visible and we will keep it until you delete your response or we delete our message.

Finally, we process your habits, lifestyle, social contacts, travel behaviour and other problems that you encounter. We use this information for possible market research. We will delete this data no later than 1 year after the completion of the investigation.

Article 3 How do we obtain this information?

We have obtained the above information from you as a customer, contact person or website visitor, because you have provided this information to us. In addition, we may process some data about you as a person that we have insight into through our customers, to help with their business operations.

We provide a processor agreement to our clients in which we state how we protect your personal data.

Finally, we may have obtained your data as a reseller of ActiveCampain.

Article 4 What rights do you have with regard to this data?

The General Data Protection Regulation has given you a number of rights with regard to the personal data that you have processed by us.

Access – You can make a request at any time to F4NF to view your data.

Change – If you want to have your data adjusted, corrected, supplemented, protected or removed on the basis of inspection, you can submit a request for this. You can also adjust a number of data yourself in your personal account.

Objection – You can object to the processing of your data.

Data transfer – If you want to transfer your data to another provider, we will provide your data in a structured and commonly used form that can be accessed by common digital systems.

Withdrawal – When we have processed data based on your explicit consent, you have the right to withdraw this consent. This may have consequences for the services we can provide you.

To exercise your rights, you can send a request to [email protected]. We will assess your request as soon as possible. If we are unable to comply with your request, we will let you know why we are rejecting your request.

Article 5 Who receives your data?

F4NF will not provide your data to third parties, unless this is necessary for business operations or is required by law. Your data can be passed on to processors and external advisers for the execution of the agreement. We conclude processing agreements with these third parties to optimally protect your privacy. We will not sell your information to third parties.

Article 6 Final provisions

We recommend that you consult this privacy statement regularly, as we may make changes to the policy.
